Checklist for Forming Meeting Objectives

Determine demographics of audience:

  • what are the categories of job or professional responsibilities?
  • how familiar with the subject(s) are the members of the group?
  • what are the attendees' expectations?
  • is it a homogenous group?
  • are there guests?
  • how sophisticated are they about communication techniques?
  • travel? 

How many stakeholder groups are involved with the meeting?

What different objectives does each group have?

Are any objectives common to all?

Identify the anticipated or desired behaviour of the audience after the meeting, (e.g., how should they do things differently?) Identify necessary tools to be provided to the audience information

  • training
  • motivation
  • change in job concept
  • technical information

What can the audience gain from the event?

How can this be measured?
